Overall Role Objectives

The Sales Administration position plays a crucial role in supporting the sales team by ensuring the smooth and efficient operation of sales processes and administrative tasks. This role involves maintaining accurate sales records, coordinating with various departments, and providing excellent customer service. The Sales Administrator is an integral part of the sales team, ensuring that sales operations run smoothly and efficiently.

Key Performance Indicators / Responsibilities & Expected Results

Order Processing:

  • 1. Receive and process sales orders from customers.
  • 2. Verify order accuracy, pricing, and payment information.
  • 3. Prepare and submit purchase orders to the appropriate department for order fulfillment.

Customer Service:

  • 1. Assist customers with inquiries and order status updates.
  • 2. Handle customer complaints and resolve issues in a professional and timely manner.
  • 3. Maintain a positive and helpful attitude when dealing with customers.

Sales Record Keeping:

  • 1. Maintain accurate and up-to-date customer and sales records in the company’s CRM or database.
  • 2. Track sales performance and generate sales reports for management.

Clients Management:

  • 1. Coordinate with the inventory department to ensure product availability and maintain adequate stock levels.
  • 2. Monitor inventory levels and report discrepancies or shortages.

Documentation:

  • 1. Prepare sales contracts, invoices, and other necessary documentation.
  • 2. Maintain organized and easily accessible sales files and records.

Sales Support:

  • 1. Assist the sales team with administrative tasks, including preparing sales presentations, proposals, and sales materials.
  • 2. Schedule meetings, appointments, and travel arrangements for sales representatives.
Required Specific Knowledge, Skills & Tools
  • 1. Bachelor’s degree in business administration, marketing, or a related field (Master’s degree preferred).
  • 2. Proven experience in sales management, preferably in a similar industry or geographical area.
  • 3. Strong leadership and team management skills.
  • 4. Excellent communication and interpersonal skills.
  • 5. Analytical and strategic thinking abilities.
  • 6. Results-oriented and target-driven mind-set.
  • 7. Deep understanding of the UAE market and the sector is highly desirable.
  • 8. Ability to travel within the assigned area as required.

Communication:

  • 1. Collaborate with various departments such as marketing, finance, and logistics to ensure a seamless sales process.
  • 2. Keep the sales team informed of important updates and changes.

Data Entry:

  • 1. Accurately enter data into the company’s systems and databases.
  • 2. Maintain confidentiality and data security.

Reporting:

Generate regular and ad-hoc reports on sales metrics, customer feedback, and other relevant data.

Qualifications:

  • High school diploma or equivalent; some college or relevant coursework is a plus.
  • Proven experience in sales administration or a related field.
  • Proficiency in using office software (e.g., Microsoft Office Suite) and CRM systems.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Good communication and interpersonal skills.
